The sequence

What happens, in order

Five steps, none of which require you to handle a card number.

  1. The client books online

    They choose the service and an available appointment on your booking page.

  2. Their card is stored through Stripe

    Stripe handles the card. You never see or store the number, and neither does your booking page.

  3. Your policy attaches to the booking

    The cancellation and no-show terms you configured, visible to the client before they confirm.

  4. A reminder goes out automatically

    Before the appointment, without you sending it. Most missed appointments are forgotten, not deliberate.

  5. You charge the fee, if the policy applies

    Your decision, every time. The card being on file means you can choose to charge, not that anything happens automatically.

SmartGroom does not guarantee that every client will attend an appointment. Card-on-file functionality is provided through Stripe, which has its own terms and charges.

Doing it well

Holding a card without losing clients

Clients accept a card being held. They do not accept being surprised by it. The difference is entirely in how you present it.

State the policy before they confirm

Fee amount and notice period, on the booking page, in plain words. A policy discovered after a charge is a complaint; a policy read before booking is just a term.

Give a notice window people can actually use

Long enough that a reasonable person can cancel without a fee, short enough that you can refill the slot. Twenty-four or forty-eight hours is the usual range.

Send the reminder well before the window closes

A reminder that arrives after free cancellation has expired reads as a trap. Send it while the client can still act on it.

Keep the discretion

A card on file lets you charge. It does not oblige you to. A good client with a bad week is worth more than one fee, and you are the one who gets to decide.

Will holding a card lose me clients?+

Clients are used to hotels, restaurants and clinics holding a card against a reservation. Most accept it when the policy is stated plainly at booking, in ordinary language, with the fee amount and the notice period visible before they confirm.
