How to switch grooming software without losing your client list
Most groomers who want to move software do not, because the client list feels too risky to touch. That fear is reasonable and the risk is manageable, but only in one order.
Export first, verify second, cancel last. Almost every horror story comes from doing those in a different sequence.

Confirm you can export, before deciding anything
Ask your current provider what you can export and in what format. Three things matter: clients, pets, and booking history.
If the answer is vague or the export turns out to be a PDF, that is useful information about the platform — and a reason to be more careful about the next one.

Take the export while the account is still active
This is the step people get wrong, and it is the only one that is hard to undo. Access usually ends when the subscription does.
Export before you cancel anything. Then put the file somewhere that is not your desktop — cloud storage, an email to yourself, anywhere with a second copy.

Check the export against what you already know
A row count proves nothing. Open the file and look up your twenty most regular clients by name. Are the phone numbers right? Did the pet names come across? Are the coat notes there, or did the notes field arrive empty?
You are the only person who can spot that Mrs Harding's number is one digit short. Do this while you can still go back and look.

Pick a quiet week and overlap the two
Not the week before Christmas. Not the week you are away. Choose your quietest stretch, set up services, durations, availability and your cancellation policy in the new system, and let it start taking bookings.
Keep the old system readable for a couple of weeks even after it stops taking bookings. Paying for one more month is cheaper than guessing what a client booked in March.

Tell clients once, plainly
One short message with the new link. No apology, no explanation of your software decisions — they do not care which platform you use, only that booking still works.

Close the old account deliberately
Once bookings are arriving in the new system and your export is stored safely, cancel the old subscription. Set a reminder rather than trusting yourself to remember, because a forgotten subscription bills quietly for a year.
Keep the export file permanently. It is a snapshot of your business and it costs nothing to store.

How long does switching grooming software take?+
It depends on how much data you have and how much of it needs checking. Plan around a quiet week rather than a specific number of hours, and do not cut over the week before a holiday period.
Do I need to tell my clients I have changed software?+
Tell them once, briefly, with the new booking link. They do not need an explanation of the change, only a link that works.
What if my current provider will not let me export?+
Ask directly and in writing. If export is genuinely unavailable, that is the strongest possible argument for moving, and it is worth checking export terms before you commit to any platform in future.
